This statement explains how the Oxford Alpha Fund handles and uses the personal information we collect about our members for processes relating to our operations and activities.

 The controller for your personal information is the Oxford Alpha Fund.  The person responsible for data protection within our society is the President / Co-President who can be contacted through: oxfordalphafund@gmail.com.


How we use your personal information

We collect and process your personal information for a number of purposes, including:

  • Maintaining your personal details (e.g. your name, photograph, and preferred contact details), to ensure effective communications;

  • As part of the recruiting process for various positions in the society (e.g. Bootcamp participant, Analyst, Committee);

  • Maintaining a formal record of your activities with us;

  • Undertaking research into our activities;

  • Managing complaints made to us;

  • Managing society alumni relations.

Our normal legal basis for processing your personal information is your consent, which you gave either at the point you become a member of the society (through joining as an Analyst, Portfolio Manager, Bootcamp participant or subscribing to our mailing list) or at a point at which Oxford Alpha Fund requested personal information, and which you can withdraw at any time, including by resigning your membership

We keep your personal information for as long as we need it, and usually 1 year after you graduate.


How we share your personal information

We may share some of your personal information (e.g. name, contact details, and CV) with society sponsors and corporate partners for their recruitment purposes. 

We may also be subject to a legal requirement (with or without your consent) to share your personal information with the University or a government agency (such as the police or security services or other statutory authorities with investigatory powers) under special circumstances (e.g. relating to tax, crime or health and safety).  Where feasible and appropriate, we will notify you of our intention to share such information in advance.


Right to be informed: You have the right to know what data of yours is being collected, how it’s being used, how long it will be kept and whether it will be shared with any third parties. 

Right of access: You have the right to a copy of the information that Oxford Alpha Fund has of you.

Right of rectification: You have the right to correct data that is inaccurate or incomplete.

Right to be forgotten: In certain circumstances, you can request to erase any personal data that’s stored on you.

Right of portability: You can request for Oxford Alpha Fund to transfer any data that it holds on you to another company.

 Right to restrict processing: You can request that Oxford Alpha Fund limits the way it uses personal data.

Right to object: You have the right to challenge certain types of processing, such as direct marketing.

Rights related to automated decision making including profiling: You can ask Oxford Alpha Fund to provide a copy of its automated processing activities if you believe the data is being processed unlawfully.
